Job application letters stay formal

A GT job application letter is a short formal cover letter. You write to a hiring manager or named contact, state the role, show why you fit, and ask for the next step. Tone is professional throughout: no contractions if you want a steady formal register, and no casual slang.

Cover every bullet with evidence. Interest without skills is empty; skills without a clear ask leave the letter unfinished.

Interest, fit with proof, then a polite interview ask.

★ Evidence over adjectives

Replace I am hard-working with one concrete achievement linked to the role.

Map interest, fit and the interview ask

Typical bullets ask you to say why you are interested, describe relevant experience or skills, and explain why you would be suitable or when you can attend an interview. Plan two proof points for the skills bullet: years, tools, customers, or a measurable result.

Use the person's name if given. Otherwise use Dear Sir or Madam and Yours faithfully. Named contacts take Yours sincerely.

  2. 2Show interestLink the company's work to your aim in one paragraph.
  3. 3Prove fitGive two relevant skills or experiences with detail.
  4. 4AskRequest an interview and give availability or contact details.

Sample outline (original scenario)

Prompt idea: You saw an advertisement for a part-time library assistant. Write to Mr Johnson, the hiring manager. Explain why you are interested, describe your relevant experience, and say why you would be suitable.

Outline: Dear Mr Johnson; interest in Library Assistant role advertised on the council site; enjoy organising information and helping the public; two years at a campus helpdesk shelving stock and guiding new students on databases; evening availability Mon-Thu; request for interview; Yours sincerely.

Weak

Generic claim

I am a very responsible person and I love books, so I am perfect for this job.

  • •No proof
  • •Vague praise
  • •Weak ask

Strong

Evidence-led claim

In my campus helpdesk role I logged over 40 student enquiries a week and maintained an accurate lending record, which I can bring to your weekday evening shifts.

  • •Specific duty
  • •Relevant skill
  • •Links to the vacancy

Useful formal phrases

Adapt these lines to the advertised role. Keep nouns and numbers original to the prompt so the letter never sounds memorised.

  • I am writing to apply for the position of... advertised on...
  • I am particularly interested in this role because...
  • In my current / previous role as..., I...
  • This experience has developed my ability to...
  • I would welcome the opportunity to discuss my application at interview.
  • I am available from... and can be contacted on...
  • ✓Formal greeting and matching closing
  • ✓Role named in the opening
  • ✓Each bullet supported with concrete detail
  • ✓Interview or contact request included
  • ✓No informal slang or chatty asides

Application letter mistakes

Avoid copying a CV in list form. Write connected paragraphs. Avoid overclaiming (world-class expert) when the prompt suggests a junior or part-time role. Avoid forgetting availability if the bullet asks for it.

Also avoid mixing a friendly Hi with a corporate application. Stay formal from first line to last.

Job application FAQ

Write one application under twenty minutes, then rewrite only the evidence paragraph with stronger numbers or duties.

Do I need real work history?+

No. Invent plausible experience that fits the advert. Keep titles and dates consistent.

Should I mention salary?+

Only if the prompt asks. Otherwise focus on interest, fit and interview availability.

How formal must the letter be?+

Fully formal for unknown hiring managers and organisations. Use Dear Sir or Madam or the named title given in the question.

Can I use bullet points in the letter?+

No. Use paragraphs. Save lists for your planning notes only.
